How clinic system pricing works, and what sits outside the subscription
Most clinic software is quoted rather than priced, which makes comparing two vendors an exercise in guessing what each of them left out. This page describes how the pricing is usually built, so you can take the same structure to anyone you are talking to.

What an annual subscription usually covers
The recurring fee is normally the right to use the software for a period, for a stated number of people, together with the support and the updates that come with it. It is the predictable part of the arrangement and it is the part vendors are most willing to put in writing.
Read what the period is, when it is payable, and whether tax is inside or outside the figure you were shown. Those three details change the number more often than any negotiation does.
What is quoted separately, almost everywhere
Four things sit outside the subscription in most agreements, for a defensible reason: none of them can be priced honestly until someone has looked at your situation.
- Implementation — configuring the system for how your clinic actually works, which is a different quantity of work in every practice.
- Migration — moving your existing records in. Nobody can quote this before inspecting what you have, and a vendor who quotes it anyway is guessing.
- Integrations — connecting to anything else you run. Ask which ones are already working somewhere today, rather than which are possible.
- Customization — changes made for you specifically. Ask who owns the result, and what happens to it at the next update.
Why prices are banded by size
Nearly every vendor bands its pricing by the number of practitioners, locations or users. It is worth understanding what that banding is and is not.
A band is a commercial decision about what a practice of that size can reasonably pay. It is not a statement about what the software can technically carry, and the two are routinely confused — in both directions. Being told you have outgrown a band is a billing event, not usually an engineering one.
What to ask so the total is not a surprise
- What will I pay in the first year, including everything outside the subscription?
- What will I pay in the second year, if nothing about my clinic changes?
- What specifically causes the figure to go up, and how much notice do I get?
- Which items on this quote are one-off, and which recur?
- Is there a charge associated with leaving, and where is it written?
